We collect only the information necessary to provide our youth baseball league management services. We never sell your personal information to third parties.
Information We Collect
Information You Provide
When you use DiamondDraft, you may provide us with:
- Account Information: Name, email address, and organization affiliation when creating an administrator account
- Player Information: Player names, jersey numbers, age/division information, and evaluation scores
- Team Information: Team names, coach assignments, and roster data
- Evaluation Data: Skill ratings and notes entered during player evaluations
- Umpire Volunteer Information: For volunteer umpires who accept a league invitation: name, email, phone, experience level, availability, game assignments, and, for teen volunteers, school and parent/guardian contact details provided with guardian consent
Information Collected Automatically
When you access our Service, we may automatically collect:
- Device Information: Device type, operating system, and unique device identifiers
- Usage Data: Features accessed, actions taken within the app, and timestamps
- Location Data: Approximate location (city/region level) for league discovery features, only when you grant permission
How We Use Your Information
We use the collected information to:
- Provide and maintain the DiamondDraft service
- Enable player evaluations and draft management
- Sync data across devices for authorized users within your organization
- Send service-related notifications
- Improve our services and develop new features
- Respond to your support requests
Data Sharing and Disclosure
Within Your Organization
Player evaluation data, draft results, and team rosters are shared with authorized administrators and coaches within your Little League organization.
Service Providers
We may share information with third-party service providers including:
- Firebase (Google): For data storage, authentication, and real-time synchronization
- Twilio: To deliver the text messages you opt in to (see Text Messages below)
- Analytics providers: To understand app usage and improve our services
We do not sell, rent, or trade your personal information to third parties for marketing purposes.
Text Messages (SMS)
If you choose to receive text messages, DiamondDraft sends texts about your league's umpire program: game assignments, reminders, confirmation requests, schedule changes and urgent umpire needs. You opt in by entering your mobile number in the app, agreeing to receive these messages, and confirming a one-time code we text you; a parent or guardian provides this consent for teen umpires. Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out at any time, or HELP for help; you can also turn texts off in the app. Consent to receive texts is not a condition of volunteering or of using the Service.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Mobile phone numbers and text-messaging opt-in data are used only to deliver the messages you asked for and are never sold or shared for marketing. We use Twilio to deliver text messages; Twilio processes your number solely to send and receive those messages.
Data Retention
We retain your information for as long as your account is active or as needed to provide our services. Player evaluation data is typically retained for the duration of the baseball season plus one additional year for historical reference.
Data Security
We implement appropriate technical and organizational measures to protect your information, including encryption of data in transit and at rest, secure authentication mechanisms, and role-based access controls.
Umpire Volunteers
Leagues may invite volunteer umpires, including teenagers, to use the Umpire Hub. Umpire profiles are visible only to the inviting league's coordinators and members. Teen volunteers can join only through a coordinator's invitation, must provide a parent or guardian's name and email, and must accept the league's code of conduct; the coordinator confirms the profile before it becomes active. Umpire records (assignments, availability, service hours and any compensation) are kept for the season to support the league's records and are anonymized when an account is deleted.
Children's Privacy
DiamondDraft is designed for use by adult league administrators, coaches, and volunteer evaluators. While the Service involves managing information about youth baseball players, we do not knowingly collect personal information directly from children under 13. Teen umpire volunteers (13 and older) participate only with a parent or guardian's consent recorded through their league's invitation.
Your Rights and Choices
Depending on your location, you may have certain rights regarding your personal information including access, correction, deletion, and portability. To exercise these rights, please contact us at privacy@diamonddraft.app.
